This Standard Operating Procedure (SOP) provides clear and detailed guidelines for performing landscaping tasks at Canvas Landscaping. The goal is to ensure efficient, safe, and high-quality work when providing landscaping services, including planting, mulching, hardscaping, and general yard care.
2. Scope
This procedure applies to all landscaping jobs performed by Canvas Landscaping's team, from material procurement to the completion of each landscaping project.
3. Responsibilities

Landscaping Crew Members: Responsible for executing all tasks according to SOP guidelines, ensuring the work is completed safely and to the highest standard.

Lead Landscaper: Ensures that all crew members adhere to safety protocols, maintains equipment, and supervises the crew’s work and material procurement.

Project Manager: Oversees the overall project, communicates with clients, and ensures that the landscaping job is completed on schedule and meets client expectations.
4. Procedure Overview
A. At the Warehouse
4.1 Equipment Inspection and Preparation

Daily Equipment Check: Inspect all equipment and machinery before leaving the warehouse. Look for any damage, missing parts, or wear and tear that could hinder performance during the job.

(If applicable): Ensure all tools are clean, sharp, and ready for use.

4.2 Load Equipment and Tools

Load the Truck/Trailer: Make sure that all necessary equipment and tools are loaded onto the truck or trailer. Prioritize accessibility to frequently used tools.

Example: Place wheelbarrows, shovels, and rakes at the top or at the back for easy access.

Verify Supplies: Ensure all equipment, tools, and safety gear are accounted for before leaving the warehouse.

B. Getting Material
4.3 Material Procurement (Only with supervisor who has company card)

Visit the Supplier/Nursery: Go to the appropriate nursery or supplier to pick up the materials needed for the job, including plants, mulch, soil, rocks, or any other required landscaping materials.

Verify Materials: Double-check the list of materials required for the project. Confirm that the types of plants, soil, and other materials are correct and of high quality.

Estimate Quantities: Accurately calculate the amount of each material needed (e.g., volume of mulch or number of plants). Consider purchasing a small overage (10-15%) to account for errors or unexpected changes.

Quality Control: Inspect all needed material for signs of damage or disease. Only purchase healthy, vigorous plants.

Transport Materials: Carefully load and secure the materials in the truck or trailer, ensuring they are protected during transportation. Fragile items (e.g., plants) should be covered or secured in a way that prevents damage.

C. At the Job Site
4.4 Site Preparation

Clear the Area: Remove any existing debris, weeds, or unwanted vegetation from the site. Ensure the area is ready for the installation of new plants, soil, or materials.

Equipment & Machinery Preparation: Prepare all equipment, machinery and PPE so it is easily accessible when needed. Take equipment out of trailer, unload the skid steer, and other machinery and equipment needed.
4.5 Installation

Planting: Follow planting guidelines for each type of plant (e.g., depth, spacing, and watering). Properly space plants to avoid overcrowding.

Rock & Mulch: Lay down landscape fabric using fabric pins to secure to ground. Spread mulch or rock evenly around plants, trees, and beds to help retain moisture, prevent weed growth, and improve aesthetics.

Hardscaping: If installing elements like walkways, retaining walls, or other structures, use the correct materials and ensure that they are leveled and secure.

Sod Installation: Remove old grass (if present), level the ground, dirt moderately compacted, stagger sod in a brick-like pattern.
4.6 Equipment Use

Skid Steer: For larger projects, such as moving bulk materials like mulch, rocks, or soil, use the skid steer to transport and spread materials efficiently. Ensure proper attachment and safe operation of the skid steer.

Power Tools: Use equipment like leaf blowers, string trimmers, and loppers when needed. Always follow safety procedures and manufacturer's instructions while using these tools.
4.7 Cleaning Up

Clear the Site: Once the landscaping work is complete, remove all excess materials, tools, and debris. This includes packing up unused plants, soil, and mulch, and disposing of waste in a designated area.

Final Touches: Trim plants or grass, level out any uneven areas, and clean walkways or surfaces. Ensure that everything is neat and tidy before finishing the job.

Client Walkthrough: After the work is completed, walk the site with the client to ensure they are satisfied with the results. Answer any questions they may have and address any concerns.
D. Back at the Warehouse
4.8 Cleaning Equipment

Clean Tools and Equipment: After returning to the warehouse, thoroughly clean all equipment to prevent soil, plant matter, or debris from building up.

Hand Tools: Wash off any dirt or plant material and dry thoroughly to prevent rust or corrosion.

Power Tools: Use an air compressor or blower to clean power tools. Inspect for any damage or wear that may require repair.

Skid Steer: Clean the skid steer and any other heavy machinery to remove dirt or debris that could affect performance.

4.9 Equipment Maintenance

Daily Maintenance: Perform basic maintenance on all tools and machinery, such as checking fluid levels (oil, hydraulic fluid), sharpening blades, and checking for damage.

Power Tools: Ensure all tools are in good working condition. If needed, replace worn-out parts.

Skid Steer and Larger Machinery: Perform more detailed checks, including fluid changes and tire inspections.

4.10 Material Storage

Store Leftover Materials: Any remaining materials, such as plants or mulch, should be properly stored in a designated area to prevent spoilage or damage. Ensure that plants are stored in a cool, shaded area, and soil or mulch is kept dry.
4.11 Waste Disposal

Dispose of Debris: Properly dispose of any waste materials, including plant clippings, bags of soil, or mulch. Recycle when possible and follow local disposal guidelines.
4.12 Documentation & Reporting

Job Completion Report: The lead landscaper should fill out a job completion report, documenting the materials used, time spent, and any issues encountered during the job.
5. Safety Protocols

PPE (Personal Protective Equipment): All crew members must wear appropriate PPE throughout the project, including gloves, safety goggles, hearing protection, and sturdy footwear.

Tool Safety: Ensure that all tools are used according to the manufacturer's instructions and that safety features (e.g., blade guards, safety switches) are operational.

Lifting Safety: Use proper lifting techniques when handling heavy materials. Ensure that wheelbarrows and other transport equipment are used to reduce manual lifting.
